1. Introduction

Overview

Propurti is a full-featured property management SaaS platform built for the modern rental market. It unifies property managers, landlords, and tenants into a single coordinated ecosystem that handles the complete tenant lifecycle — from public listing discovery through lease signing, rent collection, maintenance management, and portfolio-level financial reporting — all from one shared platform.

Where RentCafe gives renters a discovery layer and apartments.com gives landlords a listing surface, Propurti goes further: it is the operating layer that sits between all three parties and orchestrates every interaction. It schedules AI-narrated virtual tours, runs automated background and credit checks, collects rent via bank transfer, generates and collects e-signatures on leases, pays contractors and landlords automatically, and surfaces real-time financial analytics — all without leaving the platform.

The Challenge

Building a product for three very different users — a portfolio business (landlords), a service business (property managers), and a consumer (tenants) — meant solving problems that no single off-the-shelf tool addresses:

  • Running automated tenant screening with real scoring logic and a clear approval recommendation
  • Collecting rent via direct bank transfer with auto-pay and failure handling built in
  • Generating, routing, and collecting e-signatures on lease documents for multi-party scenarios in one seamless workflow
  • Paying landlords and contractors automatically upon completion of work
  • Delivering AI-narrated virtual tours from a set of uploaded photos — giving tenants a real sense of a property before ever booking a showing
  • Giving a voice AI assistant the ability to answer tenant questions live during property browsing
  • Building three completely separate experiences for three different user types that all share the same underlying data — with no cross-role information leakage

2. The Problem

Background

The North American rental market is fragmented at every layer. Renters find listings on Kijiji, Zumper, or apartments.com. Landlords use spreadsheets or single-feature tools — one for accounting, one for leases, one for rent collection. Property managers, who typically manage 50–300 units across multiple ownership groups, use a patchwork of apps that don't talk to each other and require manual reconciliation at every step.

The large enterprise platforms (RentCafe, Yardi, AppFolio) solve the institutional end of the market — REITs and large-scale operators with thousands of units. They are expensive, implementation-heavy, and built for a scale most landlords and boutique PM firms will never reach.

The gap is the 5-to-300-unit operator: organized enough to need structure, small enough to be priced out of enterprise software.

Pain Points

For Property Managers: - Managing tenant relationships, maintenance, and financial reporting across dozens of properties owned by different landlords requires juggling 6+ separate tools — none of which share data - Tenant screening through third-party portals means leaving the workflow, losing context, and manually entering results back into internal systems - Contractor coordination happens over text, with invoices collected by email and payments processed manually — no audit trail, no automation - Lease generation and signing means either paying for DocuSign or emailing PDFs, then chasing both parties for signatures across separate threads

For Tenants: - Applying for a rental means emailing documents piecemeal to a stranger with no status tracking and no clear timeline - Paying rent is usually an informal bank transfer with no receipt, no auto-pay, and no failure handling - Reporting a maintenance issue means texting a landlord who may not respond for days, with no SLA and no escalation path - Renewing a lease is a negotiation over email with no structure, no counter-offer workflow, and no automated outcome

What We Built

Three Role-Based Dashboards from One Platform

Every user type gets a purpose-built experience: - Property Manager — 31-page dashboard covering leads, applications, leases, maintenance, tenants, financial reports, messaging, calendar, and virtual tour management - Landlord — 17-page portal with real-time portfolio overview, tenant directory, lease visibility, financial analytics, and payout management - Tenant — 13-page portal covering the application process, lease details, rent payments, maintenance requests, messaging, and document library


AI-Narrated Virtual Tours

Property managers upload a set of property photos. The platform generates a professionally narrated video tour automatically — no video editing, no voice recording, no production cost. Prospective tenants can request access to the tour; the PM approves with a configurable view limit. Tenants evaluate properties on their own time, at their own pace, before ever booking a showing.

Tours are monetised through a credit system: one credit generates one tour. Credits are purchased directly through the platform.


Voice AI for Live Property Questions (VAPI)

On the public property listing page, tenants can initiate a live voice call with an AI assistant trained on the property details. They ask questions in natural language — "Does it have in-suite laundry?", "What's the parking situation?", "When is it available?" — and get immediate answers. It's the experience of calling a knowledgeable leasing agent, available around the clock, without any human on the other end.


Tenant Application Pipeline (11-Step Wizard)

The application process is a guided, step-by-step wizard that walks tenants through every requirement — personal information, employment details, income verification, rental history, co-tenants, guarantors, background check consent, document uploads, and payment — with automatic progress saving so a partially completed application is never lost.

On submission, the platform automatically dispatches screening requests to three providers simultaneously: - Certn — criminal background check - Experian — credit report and score - Truework — employment and income verification

Results come back via webhook. The platform computes a composite screening score (credit 40%, income 30%, background 30%) and presents a clear recommendation to the PM. Applications that score at the top threshold are approved automatically with no manual review required.


Rent Collection via Bank Transfer (Plaid)

Tenants link their bank account directly in the tenant dashboard using Plaid — the same bank-linking technology used by the major Canadian and US financial apps. Once linked, they can pay rent with one click or opt into auto-pay for fully automatic monthly debits. Receipts are generated automatically. Failed payments trigger a tenant notification and a retry. The PM sees a real-time payment ledger for every property.


Lease Generation and E-Signatures (Anvil)

Once a tenant is approved, the PM configures the lease terms — start date, end date, monthly rent, deposit, pet policy, utilities, parking, furnishings, and safety disclosures — and clicks Generate Lease. The platform produces a complete lease document via Anvil Etch and routes it to every required signer: landlord, tenant, and any co-tenants or guarantors. Both parties sign from a link in their email. The signed lease is stored in the platform and available to both parties at any time.

No PDF attachments. No email chains. No chasing signatures.


Landlord and Contractor Payouts (Stripe Connect)

Property managers and landlords connect their bank account via Stripe. Monthly rent disbursements and contractor payments for completed maintenance work are processed directly through the platform. Landlords see their payout history, pending balance, and bank account details without leaving their dashboard.


Maintenance Request and Work Order System

Tenants report maintenance issues with a title, category, priority level, description, and up to 10 photos. The PM reviews and approves the request, sends quote requests to contractors in their network, compares quotes, and issues a work order. When the contractor completes the job and the tenant confirms, the PM releases payment via Stripe — all from one workflow.

Priority levels carry defined response time targets: Emergency (1 hour), High (4 hours), Medium (24 hours), Low (72 hours).


Financial Reporting and Portfolio Analytics

Every property has a real-time financial dashboard: - Monthly P&L — rent collected vs. operating expenses (management fees, maintenance, insurance, utilities, advertising, taxes) - Net Operating Income (NOI) — gross income minus operating costs - Cap Rate — NOI divided by property value, for investment return analysis - Cash-on-Cash Return — annual cash flow divided by initial investment - Occupancy Rate — active leases as a percentage of total units

Landlords and PMs can log any transaction — income or expense — against any property, categorized from a list of 50+ accounting categories or a custom category they define. The accounting ledger is queryable and exportable.


Lease Renewal and Negotiation

Sixty days before a lease expires, both the landlord and tenant receive an automated reminder. The landlord (or PM) submits a renewal proposal with updated rent and term. The tenant reviews and can accept, decline, or submit a counter-proposal. The platform tracks every round of negotiation. Once terms are agreed, a new lease is generated via Anvil and sent for signatures automatically.


Lead Pipeline and AI Listing Generation

Properties can be toggled public on the platform's listing directory. When a listing goes live, the platform generates three AI-written listing descriptions to choose from, with two free refinements. Prospective tenants who inquire are captured as leads with a full activity timeline — contacted, qualified, tour scheduled, applied, converted. The PM manages their entire lead pipeline from a single view.


Multi-Channel Notifications with Quiet Hours

The platform sends notifications via email (Mailjet), SMS (Twilio), and in-app. Every user sets their preferred channels and quiet hours by timezone. Notifications that arrive during quiet hours are held and delivered at the end of the quiet window — never lost, never intrusive. Emergency maintenance notifications bypass quiet hours entirely.


4. Three User Stories

The Property Manager

Propurti lead management

A boutique PM firm managing 80 units across 25 properties for 14 different landlord clients.

Before Propurti: Six separate tools. Buildium for rent tracking, DocuSign for leases, e-transfer for rent with Excel reconciliation, TransUnion SmartMove for screening, text messages for maintenance, and a shared Google Sheet for financial reporting. Every new tenant required coordinating across all of them. Every month-end required manually cross-referencing bank statements with the rent roll.

With Propurti:

A new unit becomes available. The PM adds the property, uploads photos, and generates a virtual tour in minutes. The listing goes live with an AI-written description. Inquiries arrive and are captured as leads automatically.

A qualified tenant applies through the 11-step wizard. Screening results come back from Certn, Experian, and Truework within hours — all in one place, with a composite score and a recommendation. The PM approves, configures lease terms, and Anvil routes the lease to both parties for signature. Both sign the same day.

The tenant links their bank account via Plaid. Auto-pay is set up. From that point, rent collection is fully automated — debited monthly, receipts sent, payment ledger updated.

When a maintenance request comes in, the PM approves it, requests contractor quotes, picks the best one, and issues a work order. When the job is done, payment goes out via Stripe Connect. The whole workflow lives in one place.

At month-end, P&L reports for every property are already built. No spreadsheets. No reconciliation. The PM sends each landlord client a link to their portfolio view and moves on.


The Landlord

A landlord who owns three condos, managed by a PM firm.

Before Propurti: Monthly PDF reports. Occasional bank transfers. A phone call when something went wrong. No real-time data on lease status, payment history, or maintenance backlog.

With Propurti:

The landlord logs in and sees a live portfolio overview — three properties, current occupancy, total monthly rent collected, open maintenance requests, and outstanding payments. It's all there, all the time, without asking the PM for an update.

They click into a property and see the full tenant profile, the payment history for the last 12 months, the active maintenance requests, the contractor quote, and the monthly P&L — income, expenses, and NOI side by side.

When a lease renewal comes up, the landlord proposes a 4% rent increase directly in the platform. The tenant accepts. A new lease is generated and signed without a single email attachment.

Monthly rent disbursements arrive via Stripe into their connected bank account, with a full payout history in the dashboard. No manual reconciliation. No chasing transfers.

For the landlord who manages their own properties without a PM, the platform gives them the same toolkit the PM would use — application review, lease generation, maintenance approval, contractor payment, financial reporting — all from the same landlord dashboard.


The Tenant

A first-time renter looking for a one-bedroom.

Before Propurti: Browse Kijiji, email documents to a stranger, wait for a response with no timeline, send an e-transfer for first and last with no receipt, receive a lease PDF to print, sign, and scan back.

With Propurti:

The tenant finds a listing on the platform. There's a professional AI-narrated video tour available — they watch it twice, at 11pm, from their phone. They have a question about parking. They tap "Ask AI" and speak naturally — the voice AI answers in seconds.

They click Apply. The 11-step wizard guides them through every required document. It auto-saves as they go, so they finish the next morning on a different device right where they left off. They pay the $35 application fee at the end and hit Submit. A status tracker shows them where they are in the process: Submitted → Screening → Under Review → Approved.

They're approved. They receive a lease link via email, sign it digitally in two minutes, and get a confirmation. They log into the tenant dashboard, connect their bank account with Plaid, and set up auto-pay. Rent is debited automatically every month. They receive a receipt each time.

When the smoke detector starts beeping, they open the maintenance request form in the app, upload a photo, set priority to High, and submit. The PM acknowledges within hours. A contractor shows up the next day. The tenant confirms the fix in the app and the contractor gets paid. No text messages. No waiting.

7. Lessons Learned

Build for all three users from day one. A platform that serves only the PM and ignores the tenant experience — or vice versa — creates friction that the technology then has to work around. Propurti's strength is that all three users have a reason to be in the platform regularly, which makes the data richer and the workflows faster for everyone.

Automate the handoffs, not just the tasks. The application pipeline, the lease workflow, and the maintenance work order system all involve multiple parties taking action in sequence. The value isn't in digitising each step — it's in the automatic handoff between steps. When the screening results come in, the PM is notified. When the PM approves the lease, Anvil routes it automatically. When the contractor finishes the job, the payment is ready to release. Automating the handoffs is what eliminates the coordination overhead.

AI features earn their place when they replace a real pain point. The virtual tour replaces the cost and scheduling overhead of a professional video shoot. The voice AI replaces the experience of calling a leasing agent during business hours and getting voicemail. These are not AI features added for their own sake — they are direct substitutes for things that were genuinely inconvenient or expensive.

Financial reporting only works if the data going in is clean. A P&L is only as useful as the transaction data behind it. The accounting ledger in Propurti captures every rent payment, every maintenance cost, every management fee, and every other property expense — categorized, timestamped, and linked to a property. 8. Conclusion

Propurti is the property management operating system the mid-market rental industry has been missing — below the enterprise line (Yardi, AppFolio) and above the single-feature tools (DocuSign, Buildium, Zumper). It gives boutique property management firms the same operational capability that institutional landlords pay hundreds of thousands of dollars per year for, at a scale and price point that actually serves the market.

The platform covers every phase of the tenant lifecycle, connects the ecosystem of services that property management requires (screening, signing, payments, communication, analytics), and gives each of its three user types a purpose-built experience that earns their regular engagement.

For property managers, it replaces a six-application workflow with one. For landlords, it replaces a monthly PDF with a live portfolio view. For tenants, it replaces an informal, opaque process with a guided, transparent one.

That is what modern property management infrastructure looks like.
